May 1 Deadline for Vaccination Reporting

The Department of Health (DOH) issued a notice to all health care providers impacted by the Healthcare Personnel Influenza Vaccination Reporting requirement, stating that the current deadline for reporting is close of business on Fri., May 1, 2015. All reports must be submitted electronically on the Health Electronic Response Data System (HERDS).

It is critical that the individual responsible for reporting for your facility or agency accesses the report on HERDS and ensures that the information is complete, accurate and submitted timely.

To access the report, click on "Data Entry" in HERDS, choose the activity named "Health Care Personnel Influenza Vaccination Report" and select the reporting facility or agency from the "Organization" dropdown menu. If a closed or incorrect facility or agency is listed in your HERDS report dropdown menu, please contact DOH for correction. Users must first "Save," then press the "Review and Submit" button in order to successfully submit data. DOH warns that pressing the "Save" button alone does NOT submit your data to DOH.

For nursing homes, LeadingAge New York also reminds members that vaccination reporting is a 5-point component of the current quality pool measures. You must meet an 85 percent compliance threshold in order to earn the vaccination quality points. Failure to report on a timely basis results in a loss of the quality points for this item. At a recent provider association meeting, DOH noted that overall vaccination rates among health personnel have increased substantially and they attribute the increase to the new flu mask requirement.

Questions on the vaccination reporting requirement can be sent to DOH at immunize@health.ny.gov.
